How to apply for accommodation

Applying for student accommodation on the Scottish Borders campus is a five-step process:

  1. Apply online
  2. Accept your contract online
  3. Pay your advance rent payment
  4. Complete your online induction and book an arrival slot
  5. Arrive

Apply online

Applications for the 2020/2021 semester 2 will open on Monday 16 November 2020 at 09.00. You must have an unconditional firm (UF) offer of a place to study at Heriot-Watt.

If you have not previously applied or stayed with us in the 2020-21 academic year, you can register and apply via the accommodation portal.

If you have already applied or stayed with us

If you have already applied or stayed with us during the 2020-21 academic year, you will have to email us because our system will not allow you to make a further application at this time. In this instance, please email borderhalls@hw.ac.uk between the 16 November and 16 December and we will re-enable your application.

If you have a conditional offer

The system will not accept your application if you have a conditional offer. However, if you think your status should have been changed to a unconditional firm, please contact the admissions office at ugadmissions@hw.ac.uk if you are an undergraduate student, or contact your academic school or institute if you are a postgraduate student.

Accept your contract online

Once you have applied, we will email you to confirm that we have received your application. If you don’t receive this, please email bordershalls@hw.ac.uk to let us know.

We will process your application and aim to email you an offer within 10 days. If you are an A-level student we aim to email your contract at least 7 days before the start date of the contract.

You can accept or decline your offer online by following the instructions in your offer email. Your contract is not valid until you have accepted your offer online.

We can only make one offer of accommodation.

Advance rent payment

You will need to pay a 4-week advance rent payment within 7 days of accepting your accommodation

You must accept your offer of accommodation online before making the advance rent payment.

You can pay your advance rent payment via the accommodation portal or alternatively, you can contact the Student Service Centre.

We will process your application and aim to email you an offer by Wednesday 23 December 2020. 

You can accept or decline your offer online by following the instructions in your offer email. Your contract is not valid until you have accepted your offer online.

We can only make one offer of accommodation.

If we don’t receive your advance rent payment within 7 days of sending you your offer, then your offer may be cancelled.

Complete your online induction and book an arrival slot

Once you have accepted your contract, you need to complete your online induction via the accommodation portal. As part of the induction process, you will be required to book an arrival slot in order to generate your arrival pass. This is essential in order to ensure a smooth arrivals process. 

Please complete the induction and book your slot no later than 12pm BST on 23 December 2020. Further information regarding your accommodation, can be found on wattliving.co.uk.

 All contracts start on Friday 8 January 2021.

Arrive on campus

Please ensure you bring your arrival pass and a valid form of ID. You do not need to print a hard copy as long as you can access your arrival pass via your mobile phone. When you arrive at Jean Muir Student Village, please make your way to the Gateway Building, where you will be issued your key and directed to your hall.

If you need to self-isolate on your arrival to Scotland

If you are required to self-isolate on arrival, please note you will be allocated temporary accommodation at our Edinburgh campus.  

On your arrival at Edinburgh campus, you will be issued with a care pack which includes complimentary bedding, kitchen and dining ware as well as a food parcel.

Towards the end of your isolation period, you will be contacted by the accommodation office at Scottish Borders Campus to arrange transport to Jean Muir Student Village.  

Keys can be collected from the Gateway Building Reception, any time between 9am and 5pm that day. Please do not travel to Jean Muir without contacting the accommodation office.

Payment options

Once you have enrolled, you will receive an invoice for your accommodation. You can either settle each semester in full by credit card, cash or debit card, or you can pay online in instalments

This will allow you to split the cost over 6 payments if you have a 40 week contract or 10 payments if you have a 50 week contract.

Cancelling your contract

If your circumstances change and you no longer want to take up your place at the University, please let us know so that we can cancel your contract, otherwise you may not get your advance rent payment back and you may be charged for the rent on the room.

  • If you inform us that you wish to cancel your contract before the date of entry, your advance rent payment will be refunded.
  • If you do not cancel your contract, and you do not enrol, your advance rent payment will not be refunded.
  • If you withdraw on or after the start date of the contract, your advance rent payment will be refunded less a £75 administration charge and any outstanding charges for rent and/or damage to the property.
