How to apply for accommodation
When you can apply
September semester
Applications for accommodation for 2025/26 academic year open on Monday 3 March 2025.
January semester
January semester (2024/25) applications open on 4 November 2024 and will close on Friday 13 December (Scottish Borders Campus only).
If you have an unconditional firm or conditional firm offer
- You are eligible to apply for accommodation for January semester from midday on 3 November.
- You will need to register an account and apply online.
- Offers of accommodation will be made from November onwards for students holding an unconditional firm offer.
Applicants with a conditional firm status will be made an accommodation offer only once this is updated to unconditional firm. If you think your status should have been changed to unconditional firm, then undergraduate students should contact the Admissions Office, and postgraduate students should contact their Academic School or Institute.
Step-by-step guide
Applying for student accommodation on the Scottish Borders campus is a five-step process:
- Apply online
- Accept your contract online
- Pay your advance rent payment
- Complete your online induction and book an arrival slot
- Arrive

Step one: Apply online
To submit an application, please go to our accommodation portal (opening midday GMT on Monday 3 March 2025), you will need to create an account with your student ID number (begins with H00). Once you have applied, we will email you to confirm that we have received your application. If you do not receive this, please email bordershalls@hw.ac.uk to let us know. Once you hold your unconditional firm offer, we aim to process your application and email you your offer from July onwards. We aim to email your contract at least 7 days before the start date of the contract. You can accept or decline your offer online by following the instructions in your offer email.
Please disclose any medical condition or disability at the point of application, to allow for the most suitable allocation to be carried out.
Special requests noted within accommodation application are considered however they cannot be guaranteed.

Step two: Accept your contract online
You can accept or decline your offer online by following the instructions in your offer email. Your contract is not valid until you have accepted your offer online. Please note, we can only make one offer of accommodation.
Step three: Pay your advance rent payment
You will need to pay a four-week advance rent payment within seven days of accepting your accommodation offer. You must accept your offer of accommodation online before paying the advance rent payment. Please log into your accommodation account in order to do so. If you are having trouble paying online please e-mail bordershalls@hw.ac.uk.
You can pay your advance rent payment via the accommodation portal or alternatively, you can contact the Student Service Centre.
If we don't receive your advance rent payment within seven days of sending you your offer, then your offer may be cancelled.
Step four: Complete your online induction and book an arrival slot
Once you have accepted your contract, you need to complete your mandatory online induction via the accommodation portal. As part of the induction process, you will be required to book an arrival slot in order to generate your arrival pass. This is essential in order to ensure a smooth arrivals process.
Step five: Arrive on campus
Please ensure you bring your arrival pass and a valid form of ID. You do not need to print a hard copy as long as you can access your arrival pass via your mobile phone. When you arrive at Jean Muir Student Village, please make your way to the Gateway Building, where you will be issued your key and directed to your hall.

Please note that if you do not arrive on campus by Monday 22 September 2025, your contract will be cancelled.
Payment options
Once you have enrolled, you will receive an invoice for your accommodation. You can either settle each semester in full by credit card, cash or debit card, or you can pay by monthly instalments (recurring card).
Paying in full
Please log in to our online payment service if you wish to settle your outstanding balance.
Paying by monthly instalments
40 week contracts
Your advance rent payment will be used in settlement of your first instalment payment (September). This will be followed by 8 further instalments payable on the 15th of each month (October, November, December, January, February, March, April and May). Please note that as your rent is based on a 40 week contract, the amount payable, will differ slightly, depending on the number of weeks/days in each month.
50 week contracts
Your advance rent payment will be used in settlement of your instalment payment (September). This will be followed by 10 further instalments payable on the 15th of each month in October, November, December, January, February, March, April, May, June and July. Please note that as your rent is based on a 50 week contract, the amount payable, will differ slightly, depending on the number of weeks/days in each month.
Semester only accommodation (September/ January)
September semester
If you are applying for September semester accommodation, please note that full fees are payable once you have enrolled and moved into your accommodation. Payment by instalments/ recurring card is not possible.
January semester
For January semester, there is the option to pay by instalments. For contracts ending in June, there are four monthly instalments in February, March, April and May. For contracts ending in August, there are six monthly instalments in February, March, April, May, June and July.
